How to Connect a Custom Email Account with Konvo

Connect any email address to Konvo — not just Gmail — and let your AI handle incoming messages automatically.

The generic email integration lets you bring any email account into Konvo using standard IMAP and SMTP protocols. If you have a support inbox on your own domain, or any email provider that isn’t Gmail, this is the integration you need. Once connected, your AI can read and reply to incoming emails just like it handles any other channel.


What Custom Email Unlocks

What You'll Need

  • An email address you want to connect (any provider that supports IMAP/SMTP)

  • Your email password (and IMAP/SMTP server details if using manual setup)


Connecting Your Email

Step 1: Open the integration

Go to Settings → Integrations and click Connect next to the generic email option. You’ll see two setup methods: Auto Detect and Manual Setup.

Step 2: Choose your setup method

Auto Detect is the recommended option for most email accounts. Enter your email address and Konvo automatically finds your server settings — you only need to add your password to finish.

Manual Setup gives you full control for custom or non-standard configurations. You’ll enter your IMAP host, IMAP port, SMTP host, SMTP port, email address, password, and secure connection type manually.

💡 Tip: Try Auto Detect first. If it fails or your email uses a non-standard server configuration, switch to Manual Setup and get the IMAP/SMTP settings from your email provider’s help center.

Step 3: Complete the connection

For Auto Detect: once Konvo fills in the server settings, enter your password in the only remaining field and save. For Manual Setup: fill in all fields and save. Either way, your email will appear as connected in Settings → Integrations.

What Gets Synced

Once connected, incoming emails to your address appear in your Konvo inbox. Emails are the primary data — Konvo reads the subject, body, and sender for each message. Sent replies from your AI go out through your SMTP server using your connected email address.

What makes this powerful is that your customers see replies from your real email address — not a Konvo domain — so the experience feels native to your brand.

Setting Up Your Email Signature

After connecting your email, click Settings on the integration card to add a signature. The signature you create is automatically appended to all emails sent from this account.

💡 Tip: Test your signature by sending yourself a test email and opening it in a few different clients (Gmail, Outlook, mobile). Some clients don’t display SVG images — use PNG or plain text to ensure it looks right everywhere.


Managing Your Integration

Configure — Click Settings on the email integration card to edit your signature or update connection details.

Disconnect — From the same settings screen, click Disconnect to remove the account from Konvo.

✅ Done! Your email is connected — enable the AI in Deploy (article 2.7) to start responding to incoming messages automatically.
