How to Connect Gmail with Konvo

Manage your email conversations from Konvo — with AI handling responses automatically.

The Gmail integration brings your email channel directly into Konvo, unifying it alongside your other communication channels like WhatsApp and live chat. Once connected, all incoming emails appear in your Konvo inbox, and your AI can respond to them just like any other conversation — using the same knowledge base, tone, and configuration you've already set up.

This integration is especially valuable for customer success teams already using Gmail for support. Instead of managing emails in one tool and other channels in another, everything lives in Konvo. Your team gets a single inbox, your AI handles routine queries automatically, and nothing falls through the cracks.


What You'll Need

  • Admin access to your Konvo account

  • A Gmail account you want to connect (personal or workspace)

  • Appropriate Google account permissions to authorise third-party app access


Connecting Gmail

Step 1: Open the Integrations section

In Konvo, go to Settings in the left-hand sidebar, then click on Integrations. This opens a grid showing all available integrations — both connected and available to connect.

Step 2: Find Gmail and click Connect

Scroll through the integrations grid until you find the Gmail. It will show the description "Send & Receive email via Gmail". Click the Connect button on the card.

Step 3: A Google sign-in page opens in a new tab

Your browser will open a new tab with a Google sign-in screen. This is Google's standard authorisation flow — you're not leaving Konvo permanently, just completing the connection through Google's own secure process.

Step 4: Select the Gmail account you want to connect

If you're signed into multiple Google accounts, Google will ask you to choose which one to connect. Select the Gmail account that you want to use as your email channel in Konvo. Make sure this is the account your team actively uses for customer communications.

Step 5: Review and grant the required permissions

Google will display a permissions screen showing what Konvo is requesting access to. These permissions are necessary for the integration to work fully:

  • View your email messages and settings — so Konvo can read incoming emails and display them in your inbox

  • Send email on your behalf — so your AI and team can reply to customers directly from Konvo

  • Read, compose, and send emails from your Gmail account — so the full email workflow (reading, drafting, and sending) works seamlessly inside Konvo

Review the permissions and click Allow to complete the authorisation. Without clicking Allow, the integration will not be established.

Step 6: Return to Konvo and confirm the connection

Once you click Allow, Google redirects you back and the connection is established automatically. Return to your Konvo account, go back to Settings → Integrations, and you'll see the Google card now shows a green Connected status with your Gmail address listed as the active connection.

Your emails will begin appearing in your Konvo Inbox immediately.

What the Gmail Integration Does

Connecting Gmail does more than just forward your emails — it makes email a fully active, AI-powered channel inside Konvo. Here's what changes once you're connected:

Your inbox becomes unified
All incoming Gmail messages appear directly in your Konvo inbox, alongside conversations from WhatsApp, live chat, and any other connected channels. Your team no longer needs to check multiple tools — everything is in one place.

Your AI responds to emails automatically
Your Konvo AI uses the same knowledge base and configuration it uses for other channels to handle incoming emails. It can answer questions, provide information, and manage routine queries without any human input — just like it does on WhatsApp or chat.

Your team can manage email conversations in Konvo
Agents can open email threads, read the full conversation history, reply, reassign conversations to teammates, add internal notes, and escalate when needed — all from within Konvo, without ever opening Gmail.

Every email conversation is tracked and stored
All email interactions are logged in Konvo alongside the rest of the customer's conversation history. If a customer contacts you via WhatsApp and later via email, both conversations are visible in their profile.

Managing Your Integration

Once Gmail is connected, you can manage it at any time by clicking Settings on the Google card in the Integrations section. From there you have two options:

  • Configure — Adjust any integration settings if needed

  • Disconnect — Unlinks your Gmail account from Konvo immediately. Your existing conversation history in Konvo will not be deleted, but new Gmail messages will stop appearing in your inbox and the AI will no longer respond via that email address

💡 Tip: If you need to switch the connected Gmail account, disconnect the current one first and then go through the connection flow again with the new account. Only one Gmail account can be connected per Konvo workspace at a time.

💡 Tip: If your emails stop syncing after connecting, try disconnecting and reconnecting the integration — this refreshes the authorisation and usually resolves the issue.


✅ Done! Your Gmail is now connected to Konvo. All incoming emails will appear in your inbox and your AI is ready to start handling them automatically.
